Position Overview:

We are seeking a detail-oriented and proactive Accounts Receivable Officer to join our finance team at Plan Hotel Diamonds Malindi. The successful candidate will be responsible for managing all aspects of the hotel’s receivables, ensuring timely collection of outstanding payments, and maintaining accurate financial records.

Key Responsibilities:

  • Manage the full accounts receivable process, including invoicing, collections, and reconciliation of accounts.
  • Process payments and monitor outstanding balances to ensure timely collection and resolution of overdue accounts.
  • Work closely with the Front Office, Reservations, and Sales teams to ensure accurate billing and resolution of discrepancies.
  • Reconcile accounts receivable and ensure that all payments are correctly posted into the accounting system.
  • Maintain an updated list of outstanding accounts and prepare aging reports for management review.
  • Follow up with customers and clients regarding overdue payments, offering solutions and arrangements for payment.
  • Process credit notes, refunds, and adjustments as necessary.
  • Assist in the preparation of weekly, monthly, and annual financial reports related to accounts receivable.
  • Collaborate with other departments to resolve billing issues and improve internal processes.
  • Ensure compliance with company policies and procedures for accounts receivable functions.
  • Maintain proper documentation for all transactions and ensure data integrity in the financial systems.

Qualifications:

  • A minimum of 2 years of experience in an accounts receivable or similar role, preferably within the hospitality industry.
  • Proficiency in Sun Systems, Q&A, Property Management System (PMS), and Point of Sale (POS) systems.
  • Strong knowledge of accounts receivable processes, including billing, collections, and reconciliation.
  • Good understanding of financial accounting principles and hospitality industry practices.
  • Excellent organizational and time-management skills, with a keen attention to detail.
  • Strong communication skills, with the ability to build relationships and resolve issues professionally.
  • Ability to work independently and meet deadlines in a fast-paced environment.
  • A degree or diploma or Degree in Accounting, Finance, or a related field is an advantage.

Requirements:

  • Must be a Kenyan citizen or eligible to work in Kenya without the need for a work permit, as the company does not sponsor work permits or visas.
  • Professional certification (e.g., CPA, ACCA) is an added advantage but not required.
