Position Overview:
We are looking for an organized and detail-oriented Accounts Payable Officer to join our finance team at Plan Hotel Diamonds Malindi. The ideal candidate will have a strong background in handling accounts payable functions, ensuring timely payments to suppliers and vendors, and maintaining accurate financial records.
Key Responsibilities:
- Process and verify all supplier invoices, ensuring they are accurate and in compliance with company policies and procedures.
- Ensure timely payment of invoices and maintain an updated accounts payable ledger.
- Match purchase orders, invoices, and delivery receipts to verify accuracy and resolve discrepancies with suppliers and internal departments.
- Monitor and manage supplier payment terms, ensuring payments are made on time to avoid late fees or disruptions in service.
- Prepare and process payments via cheque, bank transfers, or other payment methods as appropriate.
- Reconcile accounts payable transactions and vendor statements, ensuring that all balances are accurate and up-to-date.
- Maintain proper documentation for all payment transactions and ensure that all records are stored in an organized manner.
- Assist in the preparation of monthly financial reports and accruals for accounts payable.
- Liaise with other departments, such as procurement and receiving, to resolve issues related to invoices or purchase orders.
- Support the Finance Manager during audits and assist in the preparation of audit schedules.
- Assist in the development and implementation of policies and procedures to improve the efficiency and accuracy of the accounts payable process.
Qualifications:
- A minimum of 2 years of experience in an accounts payable role, preferably within the hospitality industry.
- Proficiency in Sun Systems, Q&A, Property Management System (PMS), and Point of Sale (POS) systems.
- Strong knowledge of accounts payable processes, including invoice processing, reconciliation, and vendor management.
- Attention to detail with the ability to spot errors and resolve discrepancies effectively.
- Excellent organizational and time-management skills, with the ability to handle multiple tasks and meet deadlines.
- Strong communication skills, with the ability to interact professionally with suppliers and internal departments.
- Ability to work independently and as part of a team.
- A degree or diploma in Accounting, Finance, or a related field is preferred.
Requirements:
- Must be a Kenyan citizen or eligible to work in Kenya without the need for a work permit, as the company does not sponsor work permits or visas.
- Professional certification (e.g., CPA, ACCA) is an added advantage but not mandatory.
