The Karen Hospital is seeking an experienced and strategic Procurement Manager to oversee and streamline our procurement operations. The ideal candidate will have a proven track record in procurement within healthcare or similar industries, with a deep understanding of Hospital Management Systems (HMIS). This role requires strong leadership, decision-making, and a commitment to ensuring cost-effective and timely acquisition of quality goods and services to support the hospital's operations.


Key Responsibilities:

  1. Procurement Planning and Strategy:

    • Develop and implement procurement policies, strategies, and plans to meet the hospital’s operational needs.
    • Forecast procurement requirements and manage budgets to ensure cost efficiency.
  2. Vendor Management:

    • Identify, evaluate, and negotiate with suppliers to secure the best terms for quality and cost.
    • Build and maintain strong relationships with vendors, ensuring compliance with contracts and service level agreements.
  3. Hospital Management Systems Integration:

    • Manage and utilize Hospital Management Systems (HMIS) for procurement processes.
    • Ensure accurate data entry and reporting within the system to enhance efficiency and transparency.
  4. Compliance and Risk Management:

    • Ensure adherence to procurement regulations, standards, and hospital policies.
    • Monitor and mitigate procurement risks, including supply chain disruptions.
  5. Leadership and Team Management:

    • Lead and mentor the procurement team, fostering a culture of accountability and excellence.
    • Conduct performance evaluations, training, and development programs for team members.
  6. Inventory and Cost Control:

    • Oversee inventory levels to prevent shortages or overstocking.
    • Analyze procurement data to identify cost-saving opportunities and improve efficiency.
  7. Reporting and Documentation:

    • Prepare and present procurement reports to senior management, highlighting key metrics and improvement areas.
    • Maintain accurate records of procurement activities for auditing and compliance purposes.

Qualifications and Requirements:

  • Bachelor’s degree in Procurement, Supply Chain Management, or a related field.
  • Minimum of 8 years of experience in procurement, with at least 3 years in a leadership role.
  • Must be registered with the Kenya Institute of Supplies Management (KISM).
  • Proven experience working with Hospital Management Systems (HMIS) is required.
  • Strong negotiation, analytical, and decision-making skills.
  • Excellent knowledge of procurement best practices, supply chain management, and inventory control.
  • Strong interpersonal and communication skills to collaborate with internal and external stakeholders.
  • Certification in procurement (e.g., CIPS, CPSP) is an added advantage.
