Depot Invoicing Supervisor – Salgaa

We are looking for a detail-oriented Depot Invoicing Supervisor to oversee invoicing and dispatch coordination across our depots in Nairobi, Mombasa, and Salgaa. This role ensures accurate invoicing, streamlined vehicle dispatch operations, and efficient FMCG product deliveries—especially in dairy, soda, water, and brewery segments. You’ll lead a small team, liaise with drivers, and maintain strong billing controls.

Key Responsibilities

• Supervise and train invoicing clerks to ensure accuracy and timeliness.
• Generate and verify depot invoices daily, ensuring all FMCG dispatches are billed correctly.
• Coordinate and monitor dispatch vehicles—track movements, report discrepancies, ensure timely deliveries.
• Reconcile dispatch logs with invoices, investigate variances, and maintain billing records.
• Liaise with Finance and Warehouse teams to resolve billing or dispatch issues.
• Prepare weekly/monthly invoicing and dispatch performance reports.
• Implement and enhance billing processes to boost efficiency and accuracy.

Qualifications

• Higher Diploma or Bachelor’s degree in Logistics, Supply Chain Management, or related field.
• 4–6 years of experience in FMCG shipping and dispatch, preferably in dairy, soda, water, or brewery sectors.
• Strong knowledge of invoicing, billing systems, and logistics operations.
• Proven ability to coordinate and monitor vehicle fleets and staff.
• Excellent communication, problem-solving, and organizational skills.
• Proficiency in MS Excel and basic ERP systems; ability to generate reports and analyze data.
• Strong attention to detail and ability to work under pressure.
