We are seeking a dedicated and versatile individual to take on the combined role of Accountant and Receptionist in our office. This position requires a proactive individual who is detail-oriented and can efficiently handle accounting responsibilities while also providing front-desk support during non-peak periods. The ideal candidate will be proficient in accounting tasks, have excellent communication skills, and be capable of managing basic receptionist duties with professionalism.

Key Responsibilities:

Accounting Responsibilities:

  • Bookkeeping: Maintain accurate financial records by posting and reconciling transactions, including accounts payable, accounts receivable, and payroll.
  • Financial Reporting: Prepare monthly, quarterly, and annual financial statements in accordance with accounting standards and company policies.
  • Budgeting and Forecasting: Assist in preparing budgets, forecasts, and financial plans.
  • Tax Compliance: Ensure timely filing of taxes (e.g., VAT, PAYE) and prepare necessary documentation for audits.
  • Account Reconciliation: Perform bank and general ledger reconciliations to ensure financial accuracy and completeness.
  • Cash Flow Management: Monitor daily cash flow, ensuring there is adequate cash for operational needs.
  • Expense Tracking: Track and report on departmental expenses to ensure adherence to budgets.

Receptionist Responsibilities:

  • Front Desk Management: Greet and welcome visitors, ensuring a positive first impression of the company.
  • Phone and Email Handling: Answer and direct incoming calls and emails to appropriate staff members, ensuring clear communication.
  • Scheduling and Appointments: Schedule meetings and appointments for management and staff as needed.
  • Mail and Package Handling: Receive, sort, and distribute mail and packages to the appropriate department or personnel.
  • Office Supplies Management: Maintain office supplies inventory, ensuring necessary items are ordered and available.
  • General Administrative Support: Provide administrative assistance to staff, such as filing, data entry, and document preparation.

Key Requirements:

  • Proven experience as an accountant or in a similar role (minimum of 2 years).
  • Basic receptionist experience or willingness to handle front-desk duties.
  • Strong knowledge of accounting principles, practices, and tax regulations.
  • Familiarity with accounting software (e.g., QuickBooks, SAGE, or similar tools).
  • Excellent organizational and multitasking skills.
  • Professional and courteous demeanor when interacting with visitors, clients, and colleagues.
  • Strong communication skills, both verbal and written.
  • Ability to maintain confidentiality and handle sensitive financial information with integrity.
  • Proficiency in Microsoft Office (Word, Excel, Outlook).

Preferred Qualifications:

  • Diploma or degree in Accounting, Finance, or related field.
  • Experience working in a similar dual-role environment.
  • CPA (Certified Public Accountant) certification is a plus.
