Procurement Officer
Description
Luton Hospital is seeking a detail-oriented and proactive Procurement Officer to join our dynamic team. The successful candidate will be responsible for ensuring the efficient and cost-effective procurement of goods and services, maintaining compliance with hospital policies and procurement standards. This role supports the Procurement Manager in delivering high-quality supply chain solutions to meet the hospital's operational needs.
Key Responsibilities
Procurement Operations
- Assist in planning and executing procurement activities in line with hospital policies and procedures.
- Source, evaluate, and negotiate with suppliers to obtain the best value for money while maintaining quality standards.
- Prepare and process purchase orders, ensuring timely and accurate documentation.
Supplier Management
- Establish and maintain strong relationships with suppliers to ensure reliability and quality of supplies.
- Monitor supplier performance and resolve any issues related to delivery or quality.
- Conduct periodic evaluations of vendor contracts to ensure alignment with organizational needs.
Compliance and Reporting
- Ensure compliance with regulatory requirements, hospital policies, and industry best practices.
- Maintain accurate procurement records, including invoices, delivery receipts, and contracts.
- Provide regular reports to the Procurement Manager on procurement activities, budgets, and cost-saving initiatives.
Inventory and Risk Management
- Collaborate with inventory and stores teams to manage stock levels effectively.
- Identify potential risks in the supply chain and propose mitigation strategies.
Continuous Improvement
- Support initiatives to improve procurement processes and enhance efficiency.
- Stay updated on market trends, pricing, and new suppliers to recommend cost-saving opportunities.
Qualifications and Experience
- Education:
- Bachelor’s degree in Procurement and Supply Chain Management or a related field.
- Professional Membership:
- Must be a member of the Kenya Institute of Supplies Management (KISM).
- Experience:
- Minimum of 2-3 years of experience in a procurement or supply chain role, preferably in a hospital or healthcare setting.
- Skills:
- Strong negotiation and communication skills.
- Proficiency in procurement software and MS Office Suite.
- Excellent organizational and time-management abilities.
