Luton Hospital is seeking a detail-oriented and proactive Procurement Officer to join our dynamic team. The successful candidate will be responsible for ensuring the efficient and cost-effective procurement of goods and services, maintaining compliance with hospital policies and procurement standards. This role supports the Procurement Manager in delivering high-quality supply chain solutions to meet the hospital's operational needs.


Key Responsibilities

  1. Procurement Operations

    • Assist in planning and executing procurement activities in line with hospital policies and procedures.
    • Source, evaluate, and negotiate with suppliers to obtain the best value for money while maintaining quality standards.
    • Prepare and process purchase orders, ensuring timely and accurate documentation.
  2. Supplier Management

    • Establish and maintain strong relationships with suppliers to ensure reliability and quality of supplies.
    • Monitor supplier performance and resolve any issues related to delivery or quality.
    • Conduct periodic evaluations of vendor contracts to ensure alignment with organizational needs.
  3. Compliance and Reporting

    • Ensure compliance with regulatory requirements, hospital policies, and industry best practices.
    • Maintain accurate procurement records, including invoices, delivery receipts, and contracts.
    • Provide regular reports to the Procurement Manager on procurement activities, budgets, and cost-saving initiatives.
  4. Inventory and Risk Management

    • Collaborate with inventory and stores teams to manage stock levels effectively.
    • Identify potential risks in the supply chain and propose mitigation strategies.
  5. Continuous Improvement

    • Support initiatives to improve procurement processes and enhance efficiency.
    • Stay updated on market trends, pricing, and new suppliers to recommend cost-saving opportunities.

Qualifications and Experience

  • Education:
    • Bachelor’s degree in Procurement and Supply Chain Management or a related field.
  • Professional Membership:
    • Must be a member of the Kenya Institute of Supplies Management (KISM).
  • Experience:
    • Minimum of 2-3 years of experience in a procurement or supply chain role, preferably in a hospital or healthcare setting.
  • Skills:
    • Strong negotiation and communication skills.
    • Proficiency in procurement software and MS Office Suite.
    • Excellent organizational and time-management abilities.
