Description

The Stock Accountant is responsible for maintaining accurate stock records, conducting regular physical counts, reconciling discrepancies, and ensuring that all stock transactions are properly documented and accounted for. This role plays a critical part in minimizing stock loss, ensuring inventory accuracy, and supporting the overall financial integrity of the company’s stock management processes.

Key Responsibilities:

1. Physical Stock Take Management:

  • Plan, organize, and conduct regular physical stock takes, ensuring accuracy and consistency.
  • Ensure that stock takes are performed on time, in accordance with company policies and industry standards.
  • Coordinate with relevant departments to ensure proper stock counting procedures are followed.
  • Supervise and train staff involved in physical stock taking to ensure efficiency and accuracy.

2. Stock Reconciliation:

  • Compare physical stock counts with system-generated reports, identifying and resolving discrepancies.
  • Investigate and report any variances found during stock counts, collaborating with other departments to reconcile differences.
  • Maintain detailed and accurate records of all stock movements, adjustments, and reconciliations.

3. Inventory Control:

  • Monitor and maintain accurate records of stock levels.
  • Assist in implementing inventory management systems to track stock movements and minimize waste or loss.
  • Ensure stock rotation practices are followed to prevent product expiries, spoilage, or obsolescence.

4. Reporting and Documentation:

  • Prepare and maintain accurate stock reports, including inventory valuation, stock turnover, and adjustments.
  • Provide regular updates to senior management on stock take results, trends, and inventory status.
  • Ensure that all stock records are properly updated and documented for audit and compliance purposes.

5. Process Improvement:

  • Recommend improvements in stock management and physical stock take processes to enhance accuracy and efficiency.
  • Work closely with other departments (e.g., procurement, sales, and operations) to streamline inventory processes.

6. Compliance and Auditing:

  • Ensure compliance with company policies, financial regulations, and industry best practices related to stock management.
  • Assist internal and external auditors in stock-related matters and provide necessary documentation during audits.

Qualifications & Experience:

  • Bachelor’s degree in Accounting, Finance, Supply Chain Management, or a related field.
  • CPA, ACCA, or relevant accounting certification is an added advantage.
  • Proven experience in stock accounting, inventory management, or a related field.
  • Proficiency in inventory management software and accounting systems (e.g., QuickBooks, SAP, SAGE, Tally).
  • Strong analytical and problem-solving skills with attention to detail.
  • Excellent communication and teamwork skills to collaborate with different departments.
  • Ability to work under pressure, meet deadlines, and maintain accuracy in stock records.
