The Administrative Secretary / Personal Assistant (PA) provides high-level administrative support to senior executives, ensuring effective time management, smooth day-to-day operations, and confidential handling of sensitive matters. The role supports Homes Universal's mission by streamlining executive workflows and enhancing productivity.
Key Responsibilities:
- Manage executive calendars, schedule meetings, and coordinate appointments.
- Screen and prioritize incoming emails, calls, and correspondence.
- Prepare reports, memos, presentations, and meeting agendas as required.
- Organize and maintain confidential files, records, and documents.
- Handle travel arrangements, accommodation, and logistics for company executives.
- Act as the first point of contact between the executive office and internal/external stakeholders.
- Coordinate board and management meetings, including minute-taking and follow-ups.
- Assist with project tracking, research, and compiling briefing materials for the executive team.
- Maintain a high degree of professionalism and discretion in handling sensitive information.
- Manage office supplies, filing systems, and administrative support tasks as needed.
Qualifications & Experience:
- Education: Diploma or Degree in Business Administration, Office Management, Secretarial Studies, or a related field.
- Experience: Minimum of 3–5 years in a similar role supporting C-level executives, preferably in a real estate or corporate environment.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent written and verbal communication skills.
- Strong organizational, time management, and multitasking abilities.
- Discreet, trustworthy, and able to handle confidential information with integrity.
- Ability to work independently, take initiative, and make sound decisions.
