Operations Graduate Trainee
Description
To provide support in the operations department by assisting in the preparation, coordination, and follow-up of key activities related to clearing, forwarding, invoicing, and logistics. The role aims to develop a well-rounded understanding of operational processes in a clearing and forwarding environment while ensuring efficient service delivery.
KEY DUTIES AND RESPONSIBILITIES:
- Prepare customer invoice breakdowns in Excel and the SAP system, ensuring accuracy and timely submission to the operations manager for confirmation and approval.
- Ensure all invoicing documents are submitted to the C&F accountant for approval of local
- Follow up with the accounts team to ensure invoices are timely shared shared
- Coordinate and send filed documents to the C&F accountant immediately after
- Share weekly updates on shipments loaded out with the operations
- Forward pre-alerts to the finance team bi-monthly, including estimates for required amounts, and ensure timely updates on deposits needed in the KPA system.
- Monitor KPA balances to ensure sufficient funds for container clearance and notify the operations manager of potential challenges at least three days in advance.

- Liaise with shipping lines to ensure prompt issuance of charges, delivery orders, and container guarantee forms while adhering to shipping line procedures.
- Ensure EDIs are sent to KPA and ICD promptly to facilitate shipment mapping and PUO
- Validate guarantee forms with shipping lines, ensuring timely receipt of invoices and processing of payments.
- Coordinate with transporters and subcontractors to ensure empty containers are returned to the shipping line depot before the validation period expires.
- Obtain container interchange reports from transporters, check for damages, and arrange joint surveys with shipping lines if necessary. Notify the operations manager of any damages or delays in returning containers.
- Follow up with shipping lines for container deposit refunds, ensuring proper documentation and adherence to procedures until refunds are received.
- Advise the operations manager and C&F accountant on receipt of container deposit refunds and maintain updated records.
QUALIFICATIONS AND REQUIREMENTS:
- Bachelor’s Degree in Supply Chain/Operations Management/Logistics Management
- KESRA Certification an added
- Strong problem-solving and interpersonal
- Excellent communication skills (oral and written) and reporting
- Ability to multitask and complete tasks
- A team player with a positive attitude, attention to detail, and the ability to work long
- Knowledge of customs legislation, tariffs, import/export documentation, customs clearance, bond management, and customs declaration.
