Role Overview
We are seeking a proactive Office Administrator to support the smooth running of our Nairobi office. You will ensure efficient office operations, support HR and administrative functions, and deliver excellent internal serviceāhelping the team focus on delivering exceptional HR consulting.
Key Responsibilities
Administrative Support:
Manage general office duties: scheduling, mail handling, supplies, equipment maintenance.
Coordinate meetings, events, and travel arrangements.
Front Desk & Reception:
Welcome clients and guests, answer calls, direct inquiries, and ensure a professional office environment.
HR Coordination:
Assist with onboarding: prepare offer letters, collect documents, support orientation.
Maintain employee records and HRIS data with confidentiality and accuracy.
Support payroll preparation by tracking attendance, leave, and expense claims.
Office Systems & Compliance:
Apply and maintain office procedures and policies in line with company standards.
Liaise with facilities vendors and IT support for efficient office operations.
Finance Assistance:
Assist with invoicing, purchase orders, and basic bookkeeping.
Track office expenditures and reconcile petty cash.
Team Collaboration:
Support HR team with data collection, reports, and ad-hoc projects.
Coordinate internal communications: staff notices, newsletters, and shared meeting materials.
Minimum Qualifications
Diploma or Bachelor's degree in Business Administration, HR, or related field.
2+ yearsā experience in an administrative or HR support role.
Excellent organizational, multitasking, and attention-to-detail skills.
Strong communication and interpersonal abilities.
Proficient in MS Office (Word, Excel, Outlook) and familiarity with HRIS is a plus.
Professionalism, discretion, and ability to maintain confidentiality.
Experience in a consulting or fast-paced environment preferred.
