To support our mission, we are seeking a dedicated and customer-focused Customer Service Assistant to join our team.

Job Purpose:
The Customer Service Assistant will play a key role in ensuring smooth patient admissions, discharges, and overall customer service operations. This role involves providing exemplary service to patients, visitors, and internal stakeholders, managing inquiries, and supporting administrative tasks to enhance the patient experience.

Key Responsibilities:

  • Facilitate the pre-authorization process for patient admissions, surgeries, and discharges to ensure efficiency.
  • Provide exceptional customer service to both internal and external customers.
  • Handle all inquiries comprehensively and direct them to the appropriate departments in a timely manner.
  • Book and follow up on specialized clinic appointments for patients with specialists at the hospital.
  • Assist in the patient discharge process to ensure it is timely and effective.
  • Receive patients, ascertain the nature of their visit, and direct them to the appropriate services.
  • Assist in generating patient bills after service delivery.
  • Manage patient queues at the reception to avoid overcrowding and ensure a smooth flow.
  • Answer patient queries, including those related to billed drugs and other services.
  • Prepare daily, weekly, and monthly insurance claims reports for the Head of Customer Care.
  • Generate invoices for insurance claims and follow up on previously submitted claims for payment approvals.
  • Answer telephone and electronic inquiries, and relay calls and messages promptly.

Qualifications:

  • Minimum of 2 years of relevant experience in a customer service role, preferably in a healthcare setting.
  • Excellent organizational and time management skills with the ability to multitask effectively.
  • Strong communication and interpersonal skills.
  • Proficiency in using computer systems and customer service software.

Education:

  • Diploma in Business Administration, Public Relations, Communication, Customer Service, or a related field from a recognized institution.
