HR & Admin Officer

As part of our continued growth, we are seeking a highly motivated and detail-oriented HR & Admin Officer to join our team.
Key Responsibilities:
Attendance, Leave Management, Payroll, and HRMS:
Conduct daily attendance reconciliation and report by 9:00 AM.
Manage leave tracking, generate monthly leave reports, and ensure compliance with leave policies.
Maintain HRMS data accuracy and provide payroll inputs (new joiners, leaves, earnings, deductions).
Ensure timely signing of payslips and address payroll queries.
Recruitment and Onboarding:
Address manpower gaps and seek approval for hiring.
Screen candidates and oversee the onboarding process to integrate new hires smoothly.
Facilitate orientation programs and ensure all pre-employment documentation is completed.
Employee Relations:
Implement engagement programs to promote a positive work environment.
Conduct employee surveys, analyze results, and create action plans.
Handle grievances, conflict resolution, and disciplinary actions in compliance with company policies.
Performance and Talent Management:
Support the performance management cycle and performance improvement programs.
Assist in talent management initiatives, including succession planning and career development.
Training and Development:
Identify training needs and design/deliver programs in collaboration with line managers.
Facilitate workshops and ensure new hires are trained on company policies.
Occupational Health & Safety (OHS):
Oversee documentation and reporting of industrial accidents.
Monitor PPE usage and participate in monthly safety committee meetings.
HR Metrics and Cost Control:
Update HR metrics weekly and provide data-driven insights.
Support initiatives to reduce HR and administrative costs.
Qualifications and Skills:
Education:
Graduate in Business, Social Sciences, or Human Resources Management.
Higher National Diploma in HR Management; member of IHRM preferred.
Experience:
3-5 years of experience in HR or related roles.
Proficiency in HRMIS and MS Office (Word, Excel, Outlook, PowerPoint, Access).
Skills and Competencies:
Strong analytical skills and tech-savvy.
Knowledge of labor laws and HR best practices.
Self-driven, detail-oriented, and able to work with minimal supervision.
Excellent communication skills in English and Kiswahili.
Creative, innovative, and committed to integrity.
Key Performance Indicators (KPIs):
- Timely attendance reporting and payroll accuracy.
- Employee satisfaction level ≥ 70%.
- Staff turnover rate < 2%.
- Compliance with labor laws and OSH regulations.
- Number of training sessions conducted monthly.
