Description

We are seeking an organized and tech-savvy Administrator to oversee front office operations, support IT project sales and follow-ups, and ensure the efficient functioning of our Suluhu and Beba platforms. The ideal candidate will play a key role in administrative management, client engagement, and coordination between teams to deliver seamless operations across both projects.

Key Responsibilities

Administrative Management

  • Oversee and manage front office operations, ensuring a professional and welcoming environment.
  • Maintain and update company records, contracts, and administrative systems.
  • Coordinate schedules, meetings, and events for the management and technical teams.
  • Ensure compliance with company policies and procedures in all administrative activities.
  • Prepare and manage operational reports, presentations, and project updates.

Client and Sales Coordination

  • Support sales initiatives by identifying new opportunities and following up on leads for IT projects.
  • Maintain strong relationships with clients through regular communication and professional engagement.
  • Prepare and track proposals, quotations, invoices, and project contracts.
  • Monitor customer satisfaction and ensure timely resolution of client concerns.

Project and Team Support

  • Act as the main point of contact for coordination between clients and the technical team.
  • Track project timelines and ensure deliverables are met.
  • Provide support for ongoing IT projects, including scheduling, documentation, and reporting.
  • Assist in onboarding new service providers and clients on the Suluhu and Beba platforms.

Technology and Operational Oversight

  • Utilize technology tools and systems to manage administrative tasks and ensure efficiency.
  • Conduct basic troubleshooting of office systems and coordinate with IT support as needed.
  • Implement and manage CRM and task management tools to streamline operations.
  • Stay updated on technology trends to support the company’s innovation-driven approach.

Qualifications

  • Diploma or Bachelor’s degree in Business Administration, IT, or a related field.
  • Minimum 3 years of experience in administrative or managerial roles, preferably in a tech-oriented organization.
  • Proficiency in Microsoft Office Suite, CRM software, and task management tools (e.g., Trello, Slack).
  • Strong organizational, communication, and leadership skills.
  • Ability to manage multiple tasks, prioritize effectively, and meet deadlines.
  • Tech-savvy, with a proactive approach to learning and using new tools.
