Job Summary

We are seeking a highly organized and client-focused College Secretary/Admin to provide comprehensive administrative support to the college's management and staff. The successful candidate will ensure smooth daily operations of the office, maintain professional communication, and support key academic and administrative functions.

Key Responsibilities

  • Provide administrative support to the college principal and departmental heads
  • Prepare and manage correspondence, reports, records, and official college documentation
  • Schedule meetings, maintain calendars, and organize appointments
  • Handle incoming calls, emails, and visitors with professionalism and courtesy
  • Maintain proper filing systems (both electronic and physical) for easy access and security of college records
  • Assist in planning and coordinating college events, meetings, and training sessions
  • Ensure smooth communication between departments and with external stakeholders
  • Support students and visitors by providing relevant information and directing inquiries appropriately
  • Ensure confidentiality and accuracy in all administrative tasks

Qualifications & Skills

  • Diploma or Certificate in Secretarial Studies or its equivalent
  • Minimum of 2 years’ experience as a secretary, preferably in a training or academic institution
  • Dedicated and client-focused professional with strong knowledge of office management procedures
  • Proficient in computer programs and applications (e.g., MS Word, Excel, Outlook)
  • Excellent communication, organizational, interpersonal, and planning skills
  • High level of integrity, professionalism, and attention to detail
