Description

As our Client Services Specialist, you’ll wear two important hats – client champion and front-office coordinator. You’ll be the friendly voice on the phone and the welcoming face in our office, ensuring every client and candidate feels valued from the first “Hello”. From handling incoming inquiries and scheduling meetings, to guiding clients through onboarding and keeping our processes humming in our systems, you’ll be at the heart of our daily operations. This is a junior role with lots of growth potential – perfect for someone eager to learn and take ownership in a dynamic environment.
What You’ll Do:  

  • Be the First Point of Contact:  You’ll greet our clients (and candidates) with warmth and professionalism – whether it’s via WhatsApp, a phone call, or in person at our office. You will answer questions, provide information, and leave every caller or visitor feeling heard and appreciated.
  • Orchestrate Schedules & Processes:  Like an air-traffic controller for client services, you’ll schedule consultations, interviews, and follow-ups with ease. Using our Zoho CRM, you’ll keep track of leads and ensure no one slips through the cracks. Multitasking is your forte – one minute you might book a meeting, the next you’re confirming a candidate’s reference.
  • Support Clients Every Step of the Way:  From onboarding new clients (helping them fill in forms, understand our services etc.) to checking in after a placement, you’ll be clients’ go-to guide. High-net-worth families and expats expect attentive service – you’ll deliver just that, maintaining Nestara’s reputation for care and excellence.
  • Keep Our Front Office Running:  You’ll manage the reception area – making sure our office is welcoming and efficient. This includes answering general inquiries, handling minor admin tasks, and contributing to a positive atmosphere. Essentially, you ensure the  Nestara experience  is smooth from the front door to the final follow-up call!
  • Collaborate and Learn:  As part of a lean team, you’ll collaborate closely with our recruitment and operations staff. You might sit in on interviews with a new nanny, or brainstorm how to improve our client feedback process. We encourage ideas and initiative – if you see a way to improve something, we’re all ears. This is a role where you can grow quickly by taking on new challenges.
  • Business Development:   Collaboratively, as guided from the leadership team, you shall attend events, meet potential clients and partners outside of the office setup to represent the Nestara brand in creating awareness and driving business metrics and impact.

Requirements

Who We’re Looking For:

  • A Customer Service Star:  You genuinely enjoy helping people and have an upbeat, solution-oriented attitude. Ideally, you have 1-2 years in a client-facing role (customer service, front desk, hospitality, etc.) – and you’ve got references to prove you shine.
  • Communication Wiz:  You are fluent in English (both spoken and written) and can craft a great email or WhatsApp message. You communicate clearly, politely, and confidently with everyone. (P.S. If you speak Swahili too, that’s a bonus!).
  • Super Organized Multi-Tasker:  Juggling tasks comes naturally to you. You’re the kind of person who color-codes your calendar or makes to-do lists for fun. Whether it’s managing schedules or keeping records updated, you do it with attention to detail and never miss a beat.
  • Tech-Savvy & Quick Learner:  Tech doesn’t intimidate you. You’re comfortable with computers and have used tools like CRMs, databases, or at least Excel and email extensively. If you haven’t used some of our systems, you’re confident you can learn it fast. 
  • Calm & Professional:  You handle pressure with grace. When things get busy or a client is demanding, you don’t crack – you prioritise, maintain a calm “I’ve got this” demeanour, and resolve issues. You present yourself professionally, understand discretion, and can interface with VIP clients in a polished manner.
  • Team Player with a Can-Do Attitude:  You’re humble and ready to pitch in wherever needed. Small startup sometimes means we all refill the coffee or help at an event. You take feedback well, see it as a chance to grow, and you’re excited to be part of a close-knit, mission-driven team.
