Description

To coordinate procurement activities efficiently and ensure all received goods are properly verified, documented, and recorded using Goods Received Notes (GRNs). The officer will ensure timely delivery of quality goods and adherence to company procurement policies.

Key Duties and Responsibilities.

  • Identify purchasing needs and initiate procurement in line with set procedures
  • Propose orders in line with internal controls and procurement policies.
  • Liaise with suppliers to ensure timely and accurate delivery of goods.
  • Monitor inventory levels in collaboration with store to avoid stock outs.
  • Maintain pricing and quotations.
  • Ensure procurement complies with company policies and budget controls.

GRN (Goods Received Note) Management:

  • Prepare and issue Goods Received Notes (GRNs) immediately upon receipt.
  • Verify supplier delivery documents and match them with purchase orders and invoices.
  • Report any discrepancies, damages, or shortages to the Procurement and Finance teams.
  • Coordinate with warehouse/storekeepers to update stock levels accurately.
  • Ensure proper filing of all GRNs and related documentation for audits.

Coordination:

  • Work closely with warehouse, finance, and storekeeping teams.
  • Monitor and update inventory levels and support timely replenishment.
  • Support stock takes, audits, and reconciliations.
  • Handle supplier queries and resolve procurement-related issues.

Qualifications and experience.

  • Diploma in Procurement, Supply Chain Management, or related field.
  • Minimum of 2 years’ experience in procurement, preferably in a FMCG or manufacturing industry preferred
  • Proficient in Microsoft Excel and procurement systems.
  • Strong knowledge of procurement policies and GRN procedures.

Skills and Competencies.

  • High level of integrity, attention to detail, and record-keeping ability.
  • Ability to multitask and work under pressure in a fast-paced environment.
  • Familiarity with local markets and ability to grasps market trend and prices change and communicate instantly.
  • Strong negotiation and communication skills.
  • Analytical and problem-solving ability.
